Mystiq Privacy Policy

This Privacy Policy explains what information Helping Patient and Pharmacist Inc. ("Mystiq", "we", "us", or "our") collects when you use the Mystiq desktop application, the Mystiq cloud service, and our website at mystiqapp.ai (together, the "Service"), and how we handle it.

The short version

  • Your voice never leaves your device. Transcription happens locally on your computer in both versions of Mystiq. We never receive, store, or listen to your audio.
  • We don't train AI on your data. Not your voice, not your transcripts, not your text. Ever.
  • We don't sell your data. To anyone, for anything.
  • The Desktop version sends almost nothing. Apart from checking for updates and confirming your trial or subscription, it works entirely on your device.
  • The Cloud version sends text only. After transcription, the resulting text is sent to our servers for one final formatting step, processed, returned to you, and not stored.
  • We keep only what your account needs. That is your account email, your trial or subscription status, and a record of your purchases. Payment details are handled by our payment processor and never stored by us.

The rest of this policy gives the details.

1. Information we do not collect

To be explicit, we do not:

  • record, upload, store, or retain your voice or audio in any form;
  • store the content you dictate or the text Mystiq produces for you;
  • use your voice, transcripts, text, or any other data to train, fine-tune, evaluate, or improve AI models, or send it to anyone else for that purpose;
  • sell, rent, or trade your personal information;
  • use your data for advertising or share it with advertisers;
  • track you across other apps or websites.

2. Desktop version

The Desktop version processes everything on your device:

  • Microphone audio is captured only while you are actively dictating, transcribed locally, and discarded. It is never transmitted anywhere.
  • Transcribed text is delivered to the app or text field you are working in on your device. Any settings, preferences, or dictation history the app saves are stored only on your computer, under your control, and can be deleted by you at any time, including by uninstalling the app.
  • Update checks. The app periodically checks for new versions by contacting our download server. Like any web request, this exposes your IP address and the app version to that server. We do not use this to identify or track you.
  • Trial and subscription checks. When you start your free trial, activate a subscription, or open the app afterwards, the app contacts our servers to confirm your trial or subscription status. This sends your account email or licence key and the app version. It never sends audio or text.

Beyond update and subscription checks, the Desktop version sends no data to us or to anyone else. It has no analytics, telemetry, or crash reporting.

3. Accounts, trials, and subscriptions

To run free trials, subscriptions, and Cloud subscriptions, we keep:

  • your email address, used to log in, manage your plan, and send you service messages such as receipts, renewal reminders, and important notices (not marketing, unless you opt in);
  • your trial and plan status (trial start and end dates, plan, renewal date, active or cancelled, and the number of devices the app is activated on) and a record of your purchases;
  • basic technical information needed to run the service, such as authentication tokens and the app version making the request.

4. Cloud version

The Cloud version works exactly like the Desktop version (audio is transcribed locally on your device) with one additional step: the transcribed text is sent to our servers to be cleaned up and formatted, and the formatted text is returned to you.

  • Only text is sent. Audio is never sent.
  • The text is transmitted encrypted (HTTPS) to our servers at api.mystiqapp.ai and processed by a third-party AI provider to produce the formatted result.
  • The text is processed in memory to fulfil your request and then discarded. We do not store your text, the formatted result, or any history of your requests on our servers.
  • Our AI provider processes the text on our behalf under its API terms, which do not permit it to train on the data. It may retain API inputs for up to 30 days for abuse monitoring, after which they are deleted.

5. Payment information

Payments are processed by our payment processor. Your card number and full billing details go directly to them and are never stored on our servers. We receive only confirmation that a payment succeeded, the last four digits of your card, and the amount. Our payment processor's handling of your information is described in its own privacy policy.

6. Website

When you visit mystiqapp.ai, our website hosting provider processes standard web server data (IP address, browser type, pages requested, and timestamps) to deliver the site and protect it from abuse. We do not use analytics or advertising cookies. If you contact us by email, we keep the correspondence for as long as needed to handle your request.

7. How we use information

We use the limited information we collect only to:

  • provide the Service you asked for (trial and subscription activation, text formatting, account access, plan management);
  • process payments and send receipts and service notices;
  • respond to your support requests;
  • keep the Service secure and prevent abuse;
  • comply with legal obligations (for example, tax and accounting records).

Legal bases (for users in the EU, EEA, UK, and similar jurisdictions): we process account, subscription, and payment information to perform our contract with you; we process update-check and security data on the basis of our legitimate interest in running a secure, working service; and we keep purchase records to comply with legal obligations. We do not rely on consent except where the law requires it, in which case you can withdraw it at any time.

8. Who we share information with

We rely on third-party providers to run the Service and its infrastructure: hosting our servers, website, and downloads; processing payments; sending service emails; and, for the Cloud version only, running the AI inference that formats your text. We share with each provider only the information it needs to perform that function, and each provider may use it only to provide its service to us.

  • Infrastructure and hosting providers receive what is needed to run our servers, website, and downloads, such as account and subscription data and web server logs.
  • Our AI provider (Cloud version only) receives the transcribed text sent for formatting, transiently, as described in Section 4.
  • Our payment processor receives your billing details to process payments.
  • Our email provider receives your email address to send service messages.

We do not sell or otherwise disclose your personal information to anyone else, except: if required by law, court order, or government request; to protect the rights, safety, or property of you, us, or others; or in connection with a merger, acquisition, or sale of our business, in which case this policy will continue to apply to your information.

9. Data retention

  • Audio: never collected.
  • Transcribed and formatted text (Cloud version): processed transiently and not stored by us. See Section 4 for our AI provider's retention.
  • Account and subscription information: kept for as long as your account exists. When you delete your account or ask us to, we delete it within 30 days, except for purchase records we are legally required to keep (typically 7 years for tax purposes in Canada).
  • Website logs: retained by our hosting provider for a short period for security purposes.
  • Support emails: kept for as long as needed to resolve your request and for a reasonable period afterwards.

10. International transfers

We are based in Canada. Our service providers may process data in the United States or other countries. Where we transfer personal information out of your jurisdiction, we rely on appropriate safeguards such as our providers' standard contractual clauses and data-processing agreements.

11. Security

We use HTTPS encryption for all data in transit, restrict access to our systems, and keep the amount of personal information we hold to a minimum, because the best protection for data is not collecting it. No system is perfectly secure, however, and we cannot guarantee absolute security. If we become aware of a breach that affects your personal information, we will notify you as required by law.

12. Your rights

Depending on where you live, you may have the right to:

  • access the personal information we hold about you;
  • correct inaccurate information;
  • delete your information;
  • receive a copy of your information in a portable format;
  • object to or restrict certain processing;
  • withdraw consent where processing is based on consent;
  • complain to your local data protection authority (in Canada, the Office of the Privacy Commissioner of Canada; in the EU/EEA, your national supervisory authority).

Because we hold so little information, most of these requests are simple. You can update your email or delete your account from your account settings, or email us at support@mystiqapp.ai. We will respond within 30 days. We will not discriminate against you for exercising your rights.

California residents: we do not sell or "share" personal information as defined by the CCPA/CPRA, and we have not done so in the preceding 12 months. The categories of personal information we collect are described in Sections 2 to 6 (identifiers, commercial information, and internet activity), used for the purposes in Section 7.

13. Children

The Service is intended for users aged 14 and older (or older where local law requires a higher minimum age). We do not knowingly collect personal information from children under 14. If you believe a child has provided us with personal information, contact us at support@mystiqapp.ai and we will delete it.

14. Changes to this policy

We may update this policy from time to time. If we make material changes, especially any change to what we collect or how we use it, we will notify account holders by email and post a notice in the app or on our website before the change takes effect. The effective date at the top tells you when this policy was last revised.
